AI-Assisted Communication System for a Small Team


Context


A small team running guided excursions needed a more reliable way to manage client communication, internal coordination, and recurring operational tasks.


As the project grew, communication became increasingly fragmented across channels and dependent on manual follow-up. The goal was to create a smoother, more consistent workflow without expanding the team.


The setup involved booking-related communication, recurring customer messages, internal coordination, and information updates that had to be handled quickly and accurately.



The Problem


The team faced several operational issues:


  • too much time spent on repetitive communication

  • important information handled manually across different moments in the customer journey

  • inconsistent follow-up depending on who was managing the process

  • internal coordination that relied too heavily on memory and ad hoc action

  • increasing friction as the number of moving parts grew


These problems were manageable at a very small scale, but they created unnecessary pressure and made the process harder to sustain.



The Approach to AI-Assisted Communication


Instead of trying to fix individual communication issues one by one, the goal was to create a lightweight but structured communication system.


The solution focused on five key areas:
